About this Policy
This privacy policy sets out the way in which any personal information you provide is used and kept secure by L’Ancresse Golf Club LBG.
2.1 This policy explains when and why we collect personal information about our members, how we use it and how we keep it secure and your rights in relation to it.
2.2 We may collect, use and store your personal data, as described in this Data Privacy Policy, for example when you complete the membership application form and your information is stored on Club Systems and paper records.
2.3 We reserve the right to amend this Data Privacy Policy from time to time without prior notice. This policy will be reviewed annually in the first quarter of each calendar year and was last reviewed and updated in February 2025.
2.4 For the purposes of The Data Protection (Bailiwick of Guernsey) Law, 2017, the Club Manager will be the “Data Controller” of all personal data we hold about you. The L’Ancresse Golf Club LBG could face legal action if the Law is breached, and staff and Directors are aware that breaches may lead to disciplinary and/or legal action being taken against them.
Information we collect.
3.1 L’Ancresse Golf Club LBG process personal data on prospective, current and past members, staff and users of the club facilities.
3.2 This may include for some or all data subjects; names, addresses, dates of birth, Email addresses and telephone number(s).
3.3 Financial information on who pays fees to the Club.
3.4 Competition and handicap records.
3.5 Data in connection with employment records as required for staff and recruitment.
3.6 Disciplinary records which includes all disclosures.
3.7 CCTV footage and CCTV file storage when a requirement for downloading footage is met.
3.8 Photographs will be used for social media purposes and club promotions. Names of members may be referenced against such images. If any member of the club objects they can contact the club manager to ensure that they are not included in any photo. Photographs may be kept for club historical records.
3.9 Any other information in connection with club functions or private events held at the Clubhouse.
3.10 Sensitive personal data relates to the racial or ethnic origin, political opinions, religious beliefs, trade union membership, physical or mental health, sex life, the commission of offences. This can only be recorded by The L’Ancresse Golf Club LBG where for instance the subject has given specific consent or if there is any legal obligation to do so.
How we protect your personal data
4.1 The Club will not transfer your personal data outside of the Bailiwick unless we are satisfied that the personal data will be afforded an equivalent level of protection.
4.2 The Club have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, identity fraud, misuse, unauthorised access, alteration or destruction.
4.3 Please note, however, that where you are transmitting information to us over email and given that such data is not always encrypted, we cannot guarantee the security of this information.
4.4 The Club will notify you promptly in the event of any breach of your personal data which might expose you to risk.
Who else has access to some of the information you provide us?
5.1 The Club will never sell your personal data. The Club will not share your personal data with any third parties not involved in the Club, without your prior consent (which you are free to withhold) except where required to do so by law or paragraph 5.2 below.
5.2 Some of the Club’s systems are provided by third parties hosted database at howdidido.com and England Golf. We will share some of your data with them as necessary to enable your participation in golf – primarily your name and CDH number providing your handicap index. This is always subject to assurances that this data will be kept securely and in accordance with the Club’s expectations.
How long does the Club keep your information?
6.1 The Club will hold your personal data on our systems for as long as you are a member of the Club and for as long afterwards as is necessary to ensure all financial or other obligations are resolved.
6.2 The Club will review your personal data every year to establish whether we are still entitled to process it or the requirement to retain it is necessary. If we decide that we are not entitled to hold your personal information or your data is not necessary, we will stop processing your personal data except for retaining your personal data (where relevant) in an archived form in order to be able to comply with any future legal requirement or request.
6.3 The Club will securely destroy all paper records and electronic data once the necessity to retain such information is no longer needed.
Your Rights
7.1 You have rights under The Data Protection (Bailiwick of Guernsey) Law, 2017, including access to your personal data with information about how your personal data is processed and to have your personal data corrected.
7.2 You have a right to have your personal data erased in certain circumstances, to object to or restrict how your personal data is processed and to have your personal data transferred to yourself or to another business in certain circumstances.

Opt Out
8.1 It is the Club’s view that it would be impractical to offer any opt-out arrangements, as it would result in multiple systems and alternative processes.
